Terms of Service

Effective September 14, 2026

These terms are an agreement between VenueReply and the venue that signs up to use it. By creating an account you accept them. They are written to be read; if anything here is unclear, write to michael@newware.co and we will explain it in plain words.

The service

VenueReply is inquiry-to-tour software for event venues and banquet halls. It receives event inquiries addressed to your venue, stores them in one place, drafts replies in your voice using AI (Anthropic’s Claude), sends replies automatically by default, follows up with people who go quiet, and books tours. You can pause automatic AI replies from your Inbox or Settings to require approval for new drafts.

You may also connect your venue’s Gmail or Outlook inbox. When you do, VenueReply screens incoming messages for event inquiries and replies from existing leads. Candidate messages are stored for classification and recovery, and uncertain messages may be retained for your review. How we handle the data involved in all of this is described in the Privacy Policy.

Your account

You must be authorized to act for the venue you register, and to connect any inbox you connect. Keep your sign-in credentials to yourself and tell us promptly if you believe your account has been compromised.

You are responsible for the accuracy of what you load into VenueReply — packages, prices, availability, venue details — because replies are written from it. If your prices change and the software keeps quoting the old ones, that is a settings problem only you can fix.

Acceptable use

Use VenueReply to answer people who contacted your venue. Do not use it to send unsolicited bulk email, to contact people who never inquired, or for anything unlawful. Honor unsubscribe requests — the software does this automatically for its follow-ups; do not work around it. We may suspend accounts that use the service to spam.

AI-generated content

Replies are drafted by AI, with guardrails in code — and AI output can still contain errors. Automatic AI replies are on by default, so replies can send without prior review once your subscription and channel are active. Pause anytime to require approval for new drafts. Replies already queued, scheduled follow-ups and tour messages can still send. Messages sent on your venue’s behalf are your venue’s messages: you are responsible for their content, just as if a member of your staff had written them. Read what goes out, especially in your first weeks.

Fees, billing and refunds

VenueReply costs $99 per month, billed as a subscription through Stripe, with the first charge at signup. There is no long-term contract.

If it is not working for you, tell us within 30 days of your first charge and we will refund it in full — the 30-day money-back guarantee. You can cancel at any time from your dashboard, through the Stripe customer portal; cancellation stops the next charge.

Termination

You can close your account whenever you like. We may suspend or terminate an account that breaks these terms — the acceptable-use section in particular — with notice where practical. After termination you can request deletion of your venue and all associated data, as described in the Privacy Policy.

Disclaimers and limitation of liability

VenueReply is provided as is. We work to keep it fast and reliable, but we do not promise uninterrupted service or that every reply will be right. Keep your venue information current and check the messages sent on your behalf.

To the fullest extent the law allows, VenueReply’s total liability for any claim arising out of the service is limited to the fees you paid us in the twelve months before the claim, and we are not liable for indirect, incidental or consequential damages, including lost bookings or lost profits.

Governing law

These terms are governed by the laws of the State of Texas, without regard to its conflict-of-law rules.

Changes to these terms

We may update these terms. If we do, we will update this page and its effective date, and for significant changes we will notify venue owners by email. Continuing to use VenueReply after a change takes effect means you accept the updated terms.
